The portal supports selected tasks that help patients stay prepared, informed and connected between visits.

Portal features are intended for established, nonurgent care needs and routine administrative activity. Available functions may differ depending on account status, provider instructions and the technology platform used by the practice.

Patients may use the portal for selected communication, documentation and appointment-related needs.

Portal availability does not mean every clinical need can be handled through messaging.

New symptoms, significant deterioration, medication changes, diagnostic questions or complex treatment decisions may require a scheduled visit. The practice may respond by recommending an appointment rather than providing detailed care through a written portal exchange.

Portal functions should be used only by the authorized patient or an approved representative with appropriate access. Patients should protect their account credentials and notify the practice when they believe an account or message has been accessed improperly.

Use credentials that are difficult to guess

Create a strong, unique password and use multi-factor authentication when the portal offers it. Avoid saving credentials on shared, public or unsecured devices.

The practice or portal may verify the patient’s name, date of birth, contact details or other identifying information before activating, restoring or changing account access.

Keep Passwords Unique Avoid reusing the same password for email, banking, social media and healthcare accounts.
Review Contact Information Keep the email address and phone number used for verification current and accessible.
Sign Out Completely Do not rely only on closing the browser tab when using a shared or public device.

Unable to activate, access or recover the portal account?

Contact the practice through the approved support pathway. Staff may need to verify identity or update account details before access can be restored.

Request Portal Support

Portal access does not authorize another person to make treatment decisions, request medication or communicate on the patient’s behalf. Representative access should follow the practice’s consent, guardianship and proxy-access procedures.

Messages, refills, forms and records

Portal requests are handled more efficiently when they are complete, focused and submitted through the correct workflow.

Messaging, medication requests, forms and records may each follow a different review process. Sending a request does not confirm completion, approval or an immediate response from the practice.

Understanding portal records

The portal view may not contain the complete designated medical record.

Documents visible online may represent selected information released for patient access. A formal records request may be needed for the full record or for transmission to another organization.

Visit Summaries Summaries may include selected diagnoses, medications, instructions and follow-up information from a completed visit.
Medication Information The displayed list should be reviewed and corrected when it no longer reflects the patient’s current medications.
Test and Monitoring Information Some results may appear automatically, while others may require provider review or may be received from an outside facility.
Formal Record Copies Complete records, certified copies or third-party transfers may follow a separate authorization and processing procedure.

A submitted refill request does not mean the prescription has been approved or sent.

The provider may need to review appointment attendance, medication monitoring, treatment response, safety information or pharmacy details before authorizing a refill. Patients should check the portal and pharmacy for confirmation rather than assuming the request was completed.

Portal messages and uploaded documents become part of the practice’s communication and clinical workflow. Patients should use respectful, accurate language and submit only information relevant to their own authorized care.

Portal limits and urgent-care guidance

The portal is designed for routine needs— not situations in which safety or health cannot wait.

Portal submissions may be reviewed during normal practice workflows and may require staff routing, clinical review or an appointment. Patients should never depend on the portal for immediate crisis counseling, emergency treatment or time-sensitive medical care.

United States immediate-support guidance

When someone may be in immediate danger, do not send a portal message and wait.

Call emergency services when there is immediate physical danger, serious injury, an active suicide attempt, severe violence, loss of consciousness or another medical emergency. For suicidal thoughts, emotional distress, mental-health crisis or substance-use crisis in the United States, call or text 988.

What the portal cannot provide

Secure messaging does not make the portal a continuously monitored clinical service.

Availability may be affected by business hours, weekends, holidays, staff routing, provider schedules and the type of review required. Practice-specific response expectations should be confirmed before publication.

Messages enter the normal practice workflow

A portal submission may not be opened or answered immediately and should not be used when delayed review could create a safety or medical risk.

No Crisis Counseling

Written messaging cannot replace real-time crisis support

Portal staff cannot continuously monitor a patient’s safety, de-escalate an active crisis or provide the immediate response available through crisis and emergency services.

No Automatic Refill Approval

Submission begins review rather than confirming a prescription

Refills may depend on appointment attendance, medication monitoring, treatment response, pharmacy details and the provider’s clinical judgment.

No Full Clinical Assessment

Complex symptoms may require a scheduled visit

New diagnoses, major medication changes, severe deterioration and detailed treatment decisions usually require direct clinical assessment rather than a brief written exchange.

No Appointment Confirmation by Assumption

Requests remain pending until confirmed

A scheduling request does not reserve an appointment unless the patient receives a clear confirmation through the portal, telephone or another approved practice channel.

No After-Hours Monitoring Assumption

Weekends and holidays may affect review

Patients should not assume that messages submitted after hours, during weekends or on holidays will be seen before the practice resumes normal operations.

Concerns that should not wait in the portal

Seek immediate or urgent help when delay could place someone at risk.

1 Immediate Risk of Harm Active suicidal intent, an attempt in progress, immediate threats of violence or inability to maintain safety.
2 Severe Medical Symptoms Loss of consciousness, trouble breathing, chest pain, seizure, serious injury or another potentially life-threatening symptom.
3 Suspected Overdose Possible medication or substance overdose, dangerous intoxication or inability to awaken the person.
4 Severe Medication Reaction Serious allergic reaction, severe confusion, collapse or another rapidly worsening reaction requiring immediate assessment.
! Acute Psychiatric Instability Severe agitation, rapidly worsening psychosis, extreme disorganization or behavior that creates an immediate safety risk.
! Unsafe Withdrawal or Intoxication Severe shaking, confusion, hallucinations, seizure risk or another dangerous substance-related medical concern.

Publish the practice’s actual routine response expectations before launching this page.

Do not promise a specific response time unless the practice can consistently meet it. Explain whether the timeframe uses business days, how weekends and holidays are handled and what patients should do when a routine concern becomes urgent while awaiting review.

Sending a message does not ensure that the practice has received, opened or acted on it. Patients remain responsible for using the appropriate crisis, emergency or in-person care pathway when symptoms or safety concerns cannot wait for routine portal review.
